Information We Collect

Information you provide

When you subscribe to our newsletter, participate in polls, submit feedback, or contact us, we collect the information you provide — such as your name, email address, and any messages you send.

Automatically collected information

We collect standard web log data including your IP address, browser type, pages visited, and time of visit. This is used solely for improving the portal and ensuring security. We do not sell or share this data with third parties.

Push notification subscription

If you subscribe to push notifications, your browser generates a unique subscription endpoint. We store this endpoint to deliver notifications. We never share it with advertisers or third parties.

How We Use Your Information

Communication & updates

Your email address is used to send SUG announcements, newsletters, and important campus updates — but only if you have explicitly subscribed. You may unsubscribe at any time via the link in any email we send.

Polls & participation

Poll responses are collected anonymously using session identifiers. We do not link poll votes to personal identities. Aggregated results may be published publicly to promote transparency in student governance.

Service improvement

Usage data helps us understand which content is most valuable to students and improve navigation, performance, and accessibility of the portal.

Data Security

Technical safeguards

All data is transmitted over encrypted HTTPS connections. Subscriber information is stored in a secured database hosted on Neon Postgres with access controls limited to authorised administrators only.

Access control

Only verified SUG administrators with valid credentials may access personal data through the admin portal. All admin access is logged and reviewed periodically.

Data minimisation

We collect only the minimum information required to provide our services. We do not collect sensitive personal data such as financial information, health records, or government ID numbers.

Your Rights

Access & correction

You have the right to request a copy of personal data we hold about you and to ask us to correct any inaccuracies. Send your request to sug@uniabuja.edu.ng and we will respond within 14 working days.

Unsubscribe & deletion

You may unsubscribe from the newsletter at any time using the link in any email, or by contacting us directly. To request deletion of your subscriber record, email us and we will process your request promptly.

Push notification opt-out

You may disable push notifications at any time through your browser settings. On most browsers, go to Settings → Privacy & Security → Notifications and revoke permission for this site.

Third-Party Services

Cloudinary (media hosting)

Images and media files are hosted on Cloudinary. Cloudinary processes files on our behalf and is bound by their own privacy policy. No personal data is shared with Cloudinary beyond what is necessary for media delivery.

Neon (database hosting)

Our database is hosted on Neon, a serverless Postgres provider. Neon operates under industry-standard security certifications. No personal data is shared beyond what is required to operate the portal.

External links

The portal links to external sites such as the University of Abuja official website, Student Portal, and E-Learning platform. We are not responsible for the privacy practices of those sites.

Data Retention

Subscriber data

Email subscriber records are retained for as long as you are subscribed. Upon unsubscription or deletion request, your record is permanently removed from our system within 7 days.

Push subscription tokens

Push notification tokens are retained until you revoke browser permission or until the token expires (typically when you clear browser data or reinstall your browser).

Anonymised analytics

Anonymised usage statistics that contain no personal identifiers may be retained indefinitely to support long-term service improvement.
